Knowing how to choose an RFID tag manufacturer matters more than any line on a price list. Buying RFID looks like a catalogue exercise but behaves like an engineering one: a UHF tag is a tuned antenna, so a part that reads several metres on a carton can drop to centimetres once riveted to steel, and a label fine in a dry warehouse can delaminate in a wash tunnel. The question is never only who is cheapest per piece — it is who can build a part that works on your asset, in your market, and again on the reorder.
This checklist is for importers, integrators and OEM buyers anywhere in the world. It is neutral about sourcing regions — strong and weak factories exist in every manufacturing country — and most of what separates them is verifiable with a dozen questions and one sample round.
1. Manufacturer or trader — and how to tell
Neither is wrong in itself; a good trading house adds consolidation and QC. But you must know which you are buying from: engineering changes, root-cause analysis and lead-time control sit upstream of a trader. Three questions separate them:
- “What can you change about this tag?” A maker answers in antenna layout, substrate, mould, chip and sealing. A reseller answers “we can source that.”
- “Which processes happen on your own floor?” Converting inlays, moulding, ultrasonic sealing or potting, printing, encoding.
- “Can you show this job in production?” A short video of your order on the line — not stock imagery — is the cheapest verification available.
2. Can they tune the tag to your surface and environment?
This is the biggest single predictor of whether a deployment works. Off-the-shelf inlays are designed for free air or cardboard; your assets are not.

Ask the supplier to recommend a construction and justify it. One who only asks “which model do you want?” is selling from stock; one who asks about material, mounting and your reader is doing engineering. 3. Sample before volume — and sample properly
Never approve a tag from a datasheet or a bench test that does not resemble your site. Mount the sample on the real asset in the real orientation and read it with the reader and antenna you will actually deploy, at real gate speed and realistic tag density. Record read rate over hundreds of passes, then run a pilot lot from the same tooling before committing to a container. Tags that pass on a table and fail on a loaded pallet stall rollouts.
4. Sealing, QC and in-house testing
Ask how the tag is closed, not just what IP rating is on the datasheet. Ultrasonic welding gives a clean seam on moulded ABS, PC or nylon; epoxy potting handles shock, vibration and chemicals; overmoulding is the most robust; on labels the adhesive is usually the failure point, so ask which adhesive, for which surface.
Then ask what share of production is tested. “Every unit read and verified before dispatch” is a meaningful commitment; a supplier who tests by sampling should say so. Ask whether EPC and TID uniqueness is checked, whether encoding is re-verified after printing, and the recent reject rate.
5. Customisation depth and chip transparency
Customisation is a spectrum and price scales with where you sit on it: colour and size; printing (screen, thermal transfer, laser marking); encoding (SGTIN-96, custom EPC, user memory, lock and kill passwords); private artwork; then a bespoke form factor needing new tooling.
On silicon, insist on the exact part — an Impinj M700-series, NXP UCODE 8 or 9, or Alien Higgs chip, say — plus the memory configuration. A supplier who will not name the chip cannot be held to a performance spec, and silent substitution between runs changes read sensitivity and memory maps. Get a written commitment to notify you before any change of chip, substrate or converter.
6. Region configuration for your destination market
UHF RFID is regulated country by country. The well-established anchors are 865–868 MHz in Europe under ETSI, roughly 902–928 MHz in the United States and Canada under FCC rules, and 865–867 MHz in India. Other markets sit at various points broadly between 865 and 928 MHz, and allocations and power limits change — so treat any band figure you are quoted as provisional and verify it with your national regulator. Most inlays are broadband, but tuning peaks matter at range; readers are harder, being region-configured and usually needing local type approval.
Ask which region configuration the hardware ships in, and which approvals the supplier holds for your market — with certificate numbers you can check with the issuing body, not logos on a PDF. Our frequency-by-country guide is a useful cross-check.
7. Lead time, verification and support
Quoted lead time matters less than repeatability. Ask what the last three orders of a similar part actually took, whether reorders come off the same tooling and chip, and what happens when chip supply tightens.
On the company, ask for the incorporation number, tax ID (GST, VAT or local equivalent), a D-U-N-S number if they have one, and a bank account in the same legal entity name as the invoice; a mismatch there is a classic fraud signal. Verify each with the issuing registry; import mechanics, MOQ and Incoterms are worth reading before you negotiate. For readers, confirm you get an SDK, a sample app and a named engineer.

- Are you the manufacturer? Which steps happen in your own facility?
- Which chip and memory configuration, exactly?
- Our asset is [material, mounting, temperature, chemicals] — which construction do you recommend, and why?
- What sealing method is used, and to what temperature and cycle rating?
- What share of units are read-verified before dispatch, and your last reject rate?
- Can you supply a sample lot from production tooling, in what lead time?
- Which region configuration will these ship in, and which approvals do you hold, with certificate numbers?
- Will you notify us in writing before any change of chip, substrate or converter?
- Please share your registration number, tax ID, D-U-N-S if available, and two references.
