Importing RFID from India: MOQ, Lead Times & Shipping Basics

Importing RFID from India starts with the same three questions from almost every first-time overseas buyer: how small an order will a factory accept, how long will it take, and who is responsible for the goods once they leave the gate. What follows is generic trade education on those mechanics, not any one company’s terms sheet — use it to build your RFQ, not to assume what a supplier offers.

One disclaimer that is not boilerplate: nothing here is legal, customs or tax advice. Tariff classification, duty, import licensing and radio approval are decided in your destination country, not at the factory gate. Confirm each with your own customs broker and national regulator before releasing a purchase order.

Why RFID orders have an MOQ, and why it steps

Minimum order quantity in RFID is rarely a sales policy. It is the point at which a batch stops losing money on setup. Four things create the steps:

  • Component packaging. Chips and inlays move in reels and cartons of fixed counts. Buying below a full reel carries a broken-quantity premium, which is what low-volume pricing reflects.
  • Tooling. Hard tags in ABS, PC, nylon, PPS or ceramic need a mould. If an existing housing fits your specification there is no tooling step; a new form factor means amortising a tool, and MOQ is one of the levers for that.
  • Print and artwork setup. Logos, human-readable numbering, barcodes and colour matching each carry a fixed setup cost spread across the run: ten designs of 500 pieces cost more to set up than one design of 5,000.
  • Encoding and serialisation setup. A defined EPC scheme, locked memory or your own numbering range means configuring and verifying the encoding job once. That cost does not scale down.

As a general industry pattern, not a quote from any supplier, expect tiers rather than one number: a sample lot (a few pieces to a few hundred), a pilot lot in the hundreds to low thousands, a production lot in the thousands, and volume tiers above roughly ten thousand pieces. Catalogue items almost always carry a lower MOQ than customised ones, so the useful question is not “what is your MOQ” but “which steps does my specification trigger, and what does each cost”. What actually makes up a lead time

Treat a quoted lead time as a sum and ask for it stage by stage. No day counts appear below: they vary by product, factory and season, and a total quoted without its components is a guess.

One factory-side data point: at Identium, custom tags typically run a 5–10 day turnaround once the design is frozen. That covers the converting and encoding window only — not sample approval, new tooling or freight, and those are usually where a schedule really goes.

Two habits save the most time. Freeze the specification before production, not during it. And state the destination market at RFQ stage, so the first sample is built for the right regional band: the main UHF allocations — broadly 865–868 MHz across Europe, 902–928 MHz in the United States, 865–867 MHz in India — are not interchangeable, other markets vary, and allocations change. Incoterms: agreeing where responsibility changes hands

Incoterms (the ICC trade terms, current edition 2020) define who arranges and pays for transport, where risk passes, and who handles export and import clearance. They are not a shipping method and do not set the price. Four you will meet most often:

Never assume a term: agree it in writing with the named place spelled out (“FOB Nhava Sheva”, “DAP Rotterdam”), since a term without a place is ambiguous. Check the insurance: the CIF default is minimum cover, which may not suit a high-value consignment. Be careful with DDP, where the seller absorbs destination clearance and duty; many manufacturers decline to quote it, so treat it as something to ask about, not assume.

Air, sea or courier

RFID goods split by density and value: tags, labels, inlays and cards are light and high-value per kilo, so air freight is often rational even at production volumes. Readers, antennas and gate hardware are bulkier, shifting the maths toward sea on large orders. Express courier is normal for samples and pilot lots.

Anything with lithium cells — handheld readers, active tags — falls under dangerous-goods rules for air transport, so flag it when you request the quote. And build a clearance buffer into the first shipment from a new supplier; the second is nearly always faster.

Documentation an importer typically encounters

  • Commercial invoice — parties, description, the exporter’s declared HS code, quantity, unit and total value, currency, Incoterm with named place, payment terms.
  • Packing list — cartons, net and gross weights, dimensions, carton marks.
  • Transport document — bill of lading (sea) or air waybill (air).
  • Certificate of origin, where your market requires it or a trade agreement may apply. Whether an import qualifies for preferential treatment is a question for your broker.
  • Product and compliance documentation for your destination — agree in writing, before ordering, which documents the supplier can provide, and confirm what your market requires with your regulator. Do not infer a certification from a datasheet.

The exporter declares an HS code on the invoice, but your classification, duty and taxes are determined in your own country and must be confirmed by your own broker. Due diligence and quality across reorders

Before a first order, check the supplier is a manufacturer, not a reseller: company registration and tax numbers, an export code, a verifiable address, and independent identifiers such as a D-U-N-S number. Ask for references in a comparable industry, take a video call from the production floor, and place a sample order first — behaviour on a small order predicts behaviour on a large one. For reorders, quality becomes a documentation problem. Retain an approved golden sample, agree acceptance criteria in measurable terms (read range in your own environment, encoding accuracy, print legibility, dimensional tolerance), require lot traceability, and insist on written notice before any chip, inlay or substrate substitution — chip end-of-life is a real risk over a multi-year programme, better handled by contract than by surprise.
