RFID Warehouse Inventory: A Hardware Buyer's Guide

A warehouse RFID rollout succeeds or fails on the hardware you put on the floor. Get the reader, antenna and tag combination right and you can count thousands of cartons in minutes; get it wrong and you will chase phantom reads and missed tags for months. This is the hardware stack we spec for Indian warehouses — what each part does, how to choose it, and a sensible order to buy it in.

Map the read points before you buy anything

Walk the building and mark every place stock changes state: inbound dock doors, the QC bay, put-away aisles, pick faces, packing benches and outbound doors. Each is a “read point”, and each wants a different reader. Busy fixed choke-points — dock doors and conveyors — are the job of fixed and integrated UHF readers wired to overhead or side antennas. Anywhere a person moves to the stock instead of the stock moving to a gate — cycle counts, spot audits, put-away — calls for a mobile reader instead. Antennas decide your read zone

It is the antenna, not the reader, that shapes where tags are caught — its gain and polarisation set how wide and how deep the read field reaches. Too much power and you read stock on the next aisle; too little and tags slip through. India operates UHF RFID in the 865–867 MHz band, so every reader and antenna we ship is WPC-approved and tuned to it. Plan two to four antennas per dock door and validate the field with tagged sample loads before you fix anything to the structure.

Match the tag to the surface, every time

This is where most pilots go wrong. A plain UHF label or inlay is perfect on a cardboard carton but dies the moment you stick it on a steel rack or a liquid-filled drum — metal and water detune ordinary tags. Racking, cages, tools and machinery therefore need purpose-built on-metal RFID tags, while pooled wooden and plastic pallets are better served by dedicated pallet tags. For general cartons and totes, standard UHF hard tags cover most of the floor. Decide this surface-by-surface — it is far cheaper than re-tagging after go-live.

High-volume tagging means printing your own labels in-house rather than ordering pre-encoded stock for every SKU. An RFID label printer prints the human-readable artwork and writes the EPC to the inlay in one pass, so packing staff apply a finished, serialised label at the bench. It is the difference between tagging on demand and waiting on a supplier.

Handhelds for the day-to-day

Fixed readers automate the gates; the daily reality of cycle counts, put-away checks and locating a misplaced pallet needs a mobile UHF handheld reader. A single operator can sweep an aisle and reconcile hundreds of locations in the time a manual count takes for one rack.
