A QR code costs almost nothing to print, and anyone with a phone can scan it — which is exactly why it turns up on everything from restaurant menus to warehouse bins. So when a business in India sets up asset or inventory tracking, RFID vs QR code is rarely a question you can answer in the abstract; the honest one is “for this process, does RFID earn its extra cost over a free printed square?” This guide answers that with the trade-offs that actually decide it: how each is scanned, whether it can be copied, how many you can read at once, and what the whole thing really costs.
The one difference everything else follows from
A QR code is a printed 2D barcode, read optically. A camera — usually a phone — has to see each code clearly, one at a time, at close range. An RFID tag is read over radio: a reader energises tags in a zone and collects hundreds of them at once, through cartons, without seeing any of them.
Every other difference flows from that single fact. QR is a one-at-a-time, point-and-scan technology that any smartphone can read. UHF RFID is a bulk, no-line-of-sight technology — it needs a dedicated reader, but it does not need a human to aim at each item.

Where QR code wins
- Consumer-facing, phone-scannable jobs. The customer’s own phone is the reader, so there is no hardware to buy. Menus, “scan to know more”, product landing pages, warranty registration and payment links are natural QR territory.
- Rock-bottom cost at low volume. A printed QR costs next to nothing. For a one-off label, a small asset register or an occasional scan, that is very hard to beat.
- Occasional, low-throughput scans. If a person scans a handful of items a day, RFID’s bulk-read speed never gets used, so you would be paying for a reader you do not need.
- Linking to content you can change. A dynamic QR points to a URL you update behind the scenes — handy for documentation, marketing and instruction sheets, where the code stays printed but the destination moves.
Where RFID wins
- Bulk goods-in and dispatch. A pallet that would take minutes to scan QR-by-QR passes a gate reader in seconds. For a busy dock, that speed is the business case.
- Stock audits and cycle counts. A handheld sweeps a rack and counts everything on it in one pass, which is why teams move from patchy, error-prone counts to far higher inventory accuracy without scanning every label by eye.
- Harsh, dirty or metal surfaces. QR ink smudges, tears and fades; a sealed UHF tag does not. On-metal tags let you track tools, moulds and equipment where a printed square would not last a week.
- Hands-free and item-level tracking. Laundry, tools, returnable assets and moving stock, where a worker cannot stop to aim a camera, and where you need the individual unit tracked — not just “a box of this SKU.”
The cloning question, which people forget
This is where the two genuinely part ways on security. A QR code is just a printed pattern: photocopy it, photograph it or reprint it, and the copy scans identically. It carries fixed, read-only data. That is perfectly fine for a menu — and a real problem for anti-counterfeiting, gate access or high-value asset tracking.
A UHF RFID tag carries a unique factory-programmed serial plus rewritable user memory, and a photocopier cannot duplicate it. It is not unbreakable, but it raises the bar considerably. The cost question, honestly
The sticker shock with RFID is the tag, because a QR is effectively free to print. But the tag is rarely the real cost driver — labour and errors are. A store or store-room doing frequent counts by phone-scanning QR codes is paying for hours of aiming that a UHF sweep collapses into minutes, every week, forever.
Two things are true at once. For cheap, low-frequency, consumer-facing scans, QR’s total cost really is lower, because the phone is already in the customer’s hand and there is no reader to buy. But where counting is frequent, volumes are high and mistakes are expensive — fulfilment docks, apparel back-of-house, tool cribs, fixed-asset registers — RFID wins on the total cost of the process, not the price of the label. You don’t have to choose: hybrid QR + RFID
The most mature operations print a QR and embed RFID on the same tag or label. The QR is the human-and-phone layer — a worker or customer scans it for details or a link — while the RFID is the machine layer for bulk counts and gate reads. Apparel tickets, asset labels and document tags frequently carry both, so the item is readable whether someone has a phone or a fixed reader. The bottom line
QR is the better tool when scans are few, cheap, consumer-facing and phone-based, and when cloning is not a concern. UHF RFID is the better tool when you count in bulk, hands-free, need a unique item-level identity, or work on metal and in harsh conditions. For a great many Indian operations, the honest answer is a bit of both — QR for the cheap, public-facing seats, RFID for the process that is bleeding time or exposed to copying.
